I am the training coordinator for an upcoming men's event called the "New Warrior Training Adventure".
It's for a not-for-profit, and men volunteer their time to help.
The training runs over 4 days, and we will have around 100 men on site.
As you can imagine, there is quite a bit of work to organise.
The main method of comms is chat.
Specifically Whatsapp.
It's a great tool, and yet there are clearly some problems with it, too...
"I have WhatsApp overload. Can someone just post the link we need?"
and...
"Happy to be on the call, but I just don't need another WhatsApp chat"
We had a Zoom call last night.
I did my best to pin the Zoom link to the top of the chat, but it was still hard to find.
I laughed a little to myself as I thought...
"It would be great if we had a tool that easily allowed information for date based events to be found..."
Wait... Doesn't that sound like??
Yep.
A calendar.
But we have a WhatsApp channel for the training, so that's what we use.
Yet using the wrong tool increases stress. Sure we get by, but a better tool... well, works better.
What I am taking from the experience is a reminder...
Use the right tool for the work.
For sharing and tracking "date based" links?
A calendar works better than chat.
Running teams and getting people to work together is not easy.
But using the wrong tools when the right tools exist makes it harder than it has to be.
