SOPs are overwhelming to even begin creating... 😬

Hello, and welcome to today's episode, my name is Tom Rolley of System IOr, we've been covering the steps that bridge that gap from where you find yourself as a successful business that has hit a plateau.

And you're beginning to run into a lot of problems managing your team, that previously when you were smaller and perhaps even less successful, wasn’t there.

And that vision of actually being able to scale successfully to be able to sell your business be able to have time off to actually take the profit while you're sailing somewhere in the Mediterranean or with Sundays, or even have a business that's running.

And you can move on to your next idea.

We have looked at a couple of ideas over the last two days.

But today, I want to look at the overwhelming difficulty that you might be facing when you're like that, that's great, Tom, that you want me to build processes, or I get that managing processes better than people.

But how on earth do I do it, it's pretty overwhelming.

And you may well have even gone through this before and documented out a bunch of systems you like Hang on, wait, this, this isn't working.

Because all that time goes into creating it.

And then they never get used again, they just sit on the shelf.

And they're not used.

But what I want you to realize is that when you use the process every time, and that when you do the work, you use them, at least open them and review them.

And particularly if you write them in a certain way where at a day one level where you've never done the process before you've got all the detail.

But for someone who's done it many times, they just need the big headings, then suddenly these processes become very beneficial.

And what it opens up for is a couple of things where when you're documenting standard operating procedures, you can begin with bare bone detail like you do not have to document every single tiny little thing, you can just start with even the name of the process itself.

And as you go through the next time you use that system, you fill in a few of the big headings, oh, it's got this step and this step and this step, and that fills in.

And the next time you use it, maybe add in a little bit of detail.

Here's a key link or here's a link to a template or here's some other part of the detail.

And the next time through more detail.

This basically allows you to build over time that your processes do not have to be some kind of effort that goes in separate from your actual work.

But rather, it allows you to do your work and improve your documentation each time.

Now realize there's also another benefit from this.

And that is even if you did have all of your systems documented, it allows you to deal with the inevitable change that does exist in our world.

Things change.

Great, you can update your documentation because it's right there.

You use it every time the instructions are right there you use it, your team uses it.

Everybody is trained and more than trained.

It's just natural for the way that you set it up that the instructions get used.

Think of it like that analogy of Lego that Lego is very difficult when you don't have the instructions.

Lego is very simple if you have the instructions near the Lego pieces, and you will end up with that completed Lego piece as long as you just keep working through it.

So that's the insight that the benefits come when you and your team use your processes every time.

And this allows you to build them up and improve them so you're not overwhelmed and smashed by the amount of work, but rather it's a natural process that improves with time.

And secondly, you can cope with change that your processes stay up to date and deal with change because you use them every time.
