How to create systems in your business? 😳😊

Hello, and welcome to today's live, I am excited for this we are talking about how to create systems in your business.

We are part of a bigger journey where we, first of all, looked at the problem that you faced as an entrepreneur who's succeeded up to a point when things stopped working, that you've hit too much revenue too many people, too many customers and things start breaking.

And we've covered over the last four episodes, four episodes, the first one looking at designing a business that works with or without you.

And we've broken those down into three previous parts.

One, what needs to be done, what systems need to be in place.

Next up, we looked at who, and then we looked at when but today, this is exciting, this is how to do it, this is something that you probably are, oh, my goodness, I'm overwhelmed.

It's such a daunting task.

And you may well have already been through this experience created a bunch of standard operating procedures or how to do stuff in your business.

And then they just sit there and you look at and go, Man, a lot of effort went into creating that.

And I just, I just don't know what to do, or you are just you got nothing in place and things are breaking, you're losing clients, you're not getting clients in the first place.

You've got team disharmony.

So let's give you a couple of principles for this.

First of all, realize that systems are already operating in your business, they're just not documented.

They're already there, how you do things is already going on.

It's just not written down anywhere.

So that's one of the targets out of this.

And so how are you going to document that we've got a couple of options.

One is that you can video yourself doing the work.

So either using screen capture, or even just your phone, set it up on a tripod, and video yourself doing the work, this is going to give you a record of what's being done.

And then you can go through that video step by step and pull out the various bits and pieces, you could also have an assistant do that.

If you are short on time you like you know what, just pull out all of the steps here and we'll put them together.

The second option is that you run the system, you do the work.

And as you go along, you document what's going on.

Now that might sound like a lot of work.

So I want to give you a couple of tips, begin with just the big picture steps, the big processes that make up the system.

And just get those out, you don't have to go down to the minute detail.

What you do have to do is just go okay, here's two, this is a two-process system.

This is a four-process system.

He is the name of those processes.

And my advice would be that you create a document for that, you could have one document that documents the entire system.

But there are advantages to splitting the processes up.

Namely that as you go ahead and use that system, again and again, you can begin to fill in the medium-sized steps.

And then finally, the small detail.

And suddenly this overwhelming task becomes one more like well, let's just get the big pieces in, and then we'll fill in a bit more.

And then we'll do the detail as we go along.

This requires one thing, this will not work.

If you do what happens in many businesses where they think that creating the processes is some kind of finishable theme, that you finish the processes, then you put them on the shelf and they are done, this will not work.

This will not work, what you're going to end up in is a static picture of what the operating system of your business was at a point in time.

But then as you go along, things will change.

Things will improve, you want to do more stuff.

And those operating procedures will not grow with you, they will become a representation of a point in time basically a dead set of instructions.

This is no good.

One of your critical insights out of this video should be that you must make your team and yourself use processes every time you do stuff.

Maybe not every time but that's certainly the target you want to be at like 9899 Like even if it is just looking at the name of the process, are you I'm at step one, I'm at step two, I'm at step three, and you don't even you've done it so much that you don't need to go into all the fine detail but at least you look and make sure that you've hit all of the big process steps.

Alright, so let's recap.

Number one, your team and yourself have to use processes.

Number two, you already have systems that are operating.

And you've got to get away from documenting.

I've given you two one is videoing.

One is doing the work and writing it down as you go along.

Third, the way to document processes is to start with big picture stuff and then fill in the details as you go along.

If you do this, then you now have a way of documenting your systems, which is exciting, this is awesome.

Suddenly you have some representation of what's actually going on.

And if you've got that now, all of those things that we've discussed before in terms of improving your system, troubleshooting a system, adopting a system, copying it, and making it into a new variant on that system all become possible.

None of this was possible before.

And as an added bonus, if you set it up, right, you can even see what works are being done in real-time.

This is very exciting.

But if you know that you recreate recognize either you don't have anything on point, or you have been through the process of creating a dead system.

And that sits on a shelf and doesn't get used and you recognize that you actually need a living system, because living systems grow and dead systems die.

And businesses that have dead systems will run into exactly the same problems as a business that has no systems at all.
